Overview

The Administrative Assistant will perform a variety of complex, confidential administrative tasks including but not limited to scheduling meetings and conference calls, managing and responding to correspondence, taking meeting minutes, working on special projects, and providing excellent customer service to both internal and external clients.

 

The candidate must be a team-oriented professional with strong initiative. Candidates must be highly organized with exceptional attention to detail, have strong written and oral communication skills, prioritization skills and be able to work under tight deadlines. The candidate must have the ability to multi-task, have excellent inter-personal skills, maintain confidentiality and exhibit excellent judgment.

Responsibilities

  • Provides general administrative support to the project team including expense reports, scheduling meetings and conference calls, mailings, answering phones, managing and responding to correspondence, maintaining electronic files, and taking meeting minutes
  • Arranges travel schedule and reservations as needed
  • Interacts with internal employees, external clients and vendors in a professional manner at all times
  • Maintains website content
  • Coordinates special assigned projects
  • Creates and revises systems to achieve efficiency
  • Independently prepares more complex documentation, reports, charts, graphs, and spreadsheets as requested
  • Assists with coordinating on-site meeting logistics as needed
  • Other duties as assigned

Qualifications

  • Bachelor's Degree with 1-2 years of administrative experience
  • Proficiency in Windows applications including Word, Excel, Outlook and PowerPoint is required.
  • Knowledge of SharePoint and website content management experience is preferred
  • Must be a team-oriented professional with strong initiative
  • Must be highly organized with exceptional attention to detail, have strong written and oral communication skills, prioritization skills and be able to work under tight deadlines.
  • Must reflect a high level of professionalism, excellent interpersonal skills, and have the ability to multi-task.
  • Ability to maintain confidentiality and use good judgment.
